Introduction

Study in New Zealand’s search tool draw its data from the information about your institution on the Study in New Zealand database.

All institutions can access the database and manage their information through our administration platform.

Keeping the information on the platform accurate and up to date puts your institution in the best possible position to showcase its offering to prospective students.

Start by checking your profile has the correct structure.

Your campuses and departments

In addition to your main institution profile, you can also create campuses (‘venues’) and/or departments to better showcase your institution’s offering.

By creating campuses, you will be able to outline what your facilities have to offer to students, where they are situated and include photos that show the best aspects of your institution location.

Alternatively, creating departments will allow you to showcase specialised divisions that are part of your institution portfolio. For example, a department might be a business school, a languages division or a science department.

We may have already created these for you, but you can always change them in whatever way you like.

Differences between campuses and departments

You can choose to create departments associated with your institution. Each department can have a profile with its own information, photos, contact details and course information.

They are especially useful when your institution has a specialised offering that is strong enough as to have its own space to be showcased (e.g a business school). By creating a department, you will have a secondary profile (associated to your main profile) where you can provide specific information about this division of your institution.

Create campuses when your institution has buildings in different locations. Unlike departments, these don’t have their own profiles but will show as a tab under your main profile.

You can show each venue’s address and features, as well as a photo of the venue: 

Campuses drive the ‘region’ filters in the Study in New Zealand search tool, as well as the ‘location’ suggestions in the My StudyNZ matching tool, so it’s especially important that the campus information is correct.

As this diagram shows, departments and campuses have a different structure. You can create departments and campuses associated with your institution, but only departments have their own profiles. As a result, you can see the courses associated with a department, but not with a campus.

Manage your campuses and departments

Follow these steps to manage your campuses and departments.

Step 1

Check your main institution details

Start by checking your main institution details, which will have been preloaded from existing information. Search for your institution in Study in New Zealand search page to see if you have the correct departments and campuses.

Be especially careful when checking your contact details such as your international email address and web address, which ensure your leads go to the right place.

If you are already a user, log in to our admin platform, click “My course info” in the main menu, go to the ‘Main details’ section and click on the ‘View provider details’ button to edit / manage your contact details.

Expand “International details” to provide contact details where the leads should be sent.

Step 2

Manage your departments/Campuses

You can choose to edit or create departments and campuses (called ‘venues’) associated with your institution. 

Remember that each department has a separate page with its own information, photos, contact details and course information. However, campuses/ venues do not.

Click the “My course info” main menu and go to “View departments” or “View Venues” to check their details.

Step 3

Update your institution’s department / campus content

You can modify content such as copy and images / videos in the section “Profile Management”

Go to ‘Menu’, then ‘Profiles content’, then ‘Content management’.

Select ‘Campus profile’, choose which profile you want to modify and click ‘find’.

For campuses, you can provide details of the features for each campus. Just tick the relevant boxes to show which options are available on campus. Here’s how the updated information will look in your profile:
